Meeting Scheduler turns networking intent into a committed conversation. Attendees can start from the Schedule area or directly from another participant's profile or message, choose a time within the event, invite the right people, and manage responses in one in-event workflow.

How to schedule a meeting

Step-by-step process

Step 1. Open the Schedule Area

Path: Event > Schedule Tab > New Meeting

Inside the event, click the Schedule tab on the right-hand side. Click the plus New Meeting icon to open the meeting setup panel.

Step 2. Fill in the Meeting Details

Add the following before sending the request:

  • Meeting title so invitees know the purpose before they accept
  • Meeting date within the event date range
  • Start time and end time: meetings run between 5 and 60 minutes
  • Invitees from the list of registered participants, up to 15 people, can be added. Online participants show a green dot next to their names.

Step 3. Send the Invitation

Once the details are complete, send the request. Invitees receive an in-event notification and will see the request in their My Meetings tab. An email invitation is also sent to the registered email address. Email invitations are not sent when the event entry type is set to Register without email verification. 

Step 4. Manage Responses

The requester receives a notification when an invitee accepts or declines. All scheduled meetings are visible in the My Meetings tab for both the requester and invitees.

Step 5. Join the Meeting

Participants can join up to 10 minutes before the scheduled start time. A reminder appears 5 minutes before the meeting begins. The private meeting table supports video, microphone, screen sharing, table chat, and multiple viewing layouts. 

A few things to keep in mind:

  • Meetings must be scheduled within the event start and end time. Times outside the event window cannot be selected
  • An existing meeting cannot be rescheduled. The organizer must delete the meeting before a new request for the same time can be created
  • An attendee can turn off Allow Meeting Requests from the Schedule tab if they do not want to receive requests
  • An organizer can disable Schedule Meetings for all participants from Event Settings > Customize Event > Event Experience. Existing meetings can still run even when the feature is hidden during a live event
  • Participants joining via mobile web cannot be invited to the meeting
