Step-By-Step Process

A producer running a webinar, executive interview, or virtual event on Airmeet typically works through three phases: pre-show setup, live delivery, and post-show activation. Here is how each phase connects.

Phase 1: Set Up the Show

Step 1. Configure session settings and branding

Path: Event Dashboard > Sessions tab > Session Settings and Branding tab

  • Create your event and configure each session. 
  • Add speakers, set session duration, and apply stage backdrops, overlays, and branding from the Branding tab. 
  • Apply live event branding so the recording and stream carry visual consistency from the first frame. 
  • Enable 1080p recording and streaming quality if your plan supports it and the session requires high-definition output.

Step 2. Set up streaming destinations

Path: Event Dashboard > Sessions tab > Session Settings > Live Stream > Add Stream Destination

  • If the session will stream beyond Airmeet, click Add Stream Destination and select YouTube, LinkedIn Live, Facebook, or Custom RTMP. 
  • For LinkedIn Live, confirm your broadcaster license is approved before setup. 
  • For YouTube, connect your channel through the Integrations tab at the community level or directly from the session settings. 
  • For custom RTMP, enter the Stream URL, Stream key, Live Stream Page URL, and a destination nickname.

Step 3. Rehearse on backstage

Path: Event > Go Backstage

  • Use backstage to brief speakers, test cameras and microphones, confirm layouts, check connection quality, and walk through cues before the event goes live. 
  • Backstage conversations are not recorded even if recording is enabled, so the team can prepare freely.

Phase 2: Deliver the Live Show

Step 4. Run the session

Path: Event > Go Backstage > Start Session

  • Start the session from backstage. 
  • Use host controls to manage layouts, move speakers to and from stage, control the run of show, and monitor the live stream indicator to confirm external destinations are receiving the feed. 
  • Use the pause option if a break is needed mid-broadcast.

Step 5. Monitor and respond in real time

Path: Event Dashboard > Analytics tab > Real-time Analytics

  • During the live event, use the Analytics tab to track live attendance and participation. 
  • Moderate chat, Q&A, and polls from the session controls. 
  • Capture high-intent questions and signals for post-event follow-up.

Phase 3: Activate the Recording

Step 6. Access and download the recording

Path: Event Dashboard > Sessions tab > Session Recordings tab

Once the session is marked as ended, go to the Session Recordings tab. Preview, download, or share the recording. The recording is generated only after the session is marked ended, not paused.

Step 7. Enable session replay

Path: Event Dashboard > Sessions tab > Session card > Enable replay

Once each session is marked as completed, click the session card and enable replay so attendees can watch on-demand. Processing time varies by session duration.

Step 8. Create clips from the recording

Path: Event Dashboard > Sessions tab > Session Recordings tab > Scissors icon

  • Open the Session Recordings area and click the Scissors icon to access the clip editor. 
  • Trim segments, adjust the layout ratio for different platforms, apply style settings, and save. 
  • Clips are available under the Sessions tab once processing is complete. 

This feature is currently in Beta. Contact the customer success manager to confirm access.

A few things to keep in mind:

  • 1080p must be enabled per event from the dashboard. Default quality is 720p
  • Recording is only generated after the session is marked as ended, not paused
  • Backstage conversations are not recorded even when recording is enabled
  • LinkedIn streaming requires an approved broadcaster license before setup
  • YouTube streaming requires the channel to have live streaming enabled, which can take up to 24 hours to activate
  • Clip creation is currently in Beta. Confirm access with your customer success manager before planning a post-production workflow that depends on it
  • AirStudio, AirShots, and AirPulse are separate products. Confirm packaging and access with the Airmeet team
