Step-By-Step Process

Marketing operations teams typically run this workflow across three phases: pre-event planning and production, live engagement, and post-event activation. Here is how each phase connects.

Phase 1: Plan and Produce

Step 1. Identify content gaps with AirPulse

Path: AirPulse App > Act > Missed Opportunities

  • Use AirPulse to monitor where your brand is missing from AI search answers and high-intent social conversations.
  • Surface the buyer questions your team is not yet answering and use those gaps to brief the next webinar topic, speaker, and content assets.

Step 2. Configure registration and UTM tracking

Path: Event Dashboard > Registrations tab > Event Entry > Registration Source Tracking URLs

  • Create your Airmeet event, configure the registration form with the fields your team uses for segmentation, and generate UTM-enabled event URLs for each campaign source.
  • This ensures every registration carries campaign attribution into your analytics and CRM.

Step 3. Produce the content with AirStudio

Path: AirStudio Desktop App > New Project > Configure Layout > Go Live or Record

  • Use AirStudio to record or livestream the session with branded overlays, remote guests, screen shares, and multistreaming.
  • Apply session branding and backdrops so the recording carries visual consistency from the first frame.

Phase 2: Host and Engage

Step 4. Run the live event in Airmeet

Path: Event Dashboard > Sessions tab > Session Settings > Live Stream > Add Stream Destination

  • Host the session inside Airmeet with live chat, polls, Q&A, CTAs, networking, and engagement controls.
  • Monitor real-time analytics from the Analytics tab during the session to track attendance and participation as they happen.

Step 5. Capture engagement signals

Path: Event Dashboard > Analytics tab > Real-time Analytics
Record poll responses, questions asked, CTA clicks, resource downloads, chat signals, and session participation. These signals feed the post-event segmentation and follow-up workflow.

Phase 3: Activate and Repurpose

Step 6. Download participant data and analytics reports

Path: Event Dashboard > People tab > Attendees > Download List and Analytics tab > Reports

  • Export the participant list, engagement data, and analytics reports for lead routing, CRM upload, and campaign performance reporting.
  • Match the exported fields to your CRM or MAP field model before upload.

Step 7. Enable replay and repurpose with AirShots

Path: Event Dashboard > Registrations tab > Pre & Post Event Entry > Enable Event Replay

  • Enable event replay so the audience can access the recording on-demand.
  • Use AirShots to transform the long-form recording into short distribution-ready clips for social, sales enablement, newsletters, and always-on programs.

Step 8. Activate the data in your MarTech stack

Path: Community Dashboard > Integrations tab > Apps > Select Platform > Connect, then Event Dashboard > Integrations tab > Enable

  • Route the participant export and engagement signals into HubSpot, Salesforce, Marketo, or other connected platforms.
  • Trigger nurture, sales alerts, and follow-up workflows based on session behavior and engagement score.

A few things to keep in mind:

  • Integration field mapping, sync direction, and timing vary by platform and Airmeet plan. Validate the intended workflow before launch
  • UTM tracking is currently not available for event series. Confirm your event type before setting up source tracking
  • Analytics data refreshes every 10 minutes. Allow processing time before acting on real-time reports during the live event
  • AirPulse, AirStudio, AirShots, and Airmeet are separate products with distinct packaging and access. Confirm the complete configuration with the Airmeet team
