What is a webinar?

A web seminar or popularly known as a webinar is a live online event that delivers the knowledge sharing part from the organizer’s end on a particular subject matter and facilitates to interact with the audience credibly. Webinars build personal relationships and allow real-time conversations. Webinars have high-quality visual content varying from small-scale educational content to a large-scale TED talk.

Who hosts webinars?

A wide spectrum of people host webinars, including, individuals, businesses, associations, communities, who host webinars.  Individuals might host one to share knowledge and demonstrate industry expertise. Businesses leverage webinars to raise brand awareness, establish authority and drive conversions. Whereas associations might host webinars to boost learning among members, boost membership and provide networking opportunities. Webinars find a multitude of use cases and something important benefit to offer to each one of them.

How to create a webinar?

Before creating a webinar, establish a clear objective, understand your target audience, and select a webinar platform that will give an impeccable experience to your attendees.

1. Select the team

There are three primary members in a team- the organizers, presenters, and technical assistants. 

  • The organizer or facilitator brainstorm the subject for the webinar, find the right speakers, and promote the event. 
  • The presenter or speakers are the subject experts who focus on creating an engaging webinar content. 
  • Assistants attend to technical queries and might also help in engaging the audience better.

2. Choose the webinar format

With abundant options for webinar format available,  you need to select the one that fits the bill. Here are some of the options below: 

  • Single or multiple speaker: The speakers present a lecture and answer queries. This format works for a small targeted audience.
  • Interview format: This format has two-way communication like an interview, where subject matter experts answer questions. It’s an engaging format, where attendees are encouraged to ask questions. 
  • Panel discussion: A panel webinar has multiple speakers who talk and discuss on the curated topic. A moderator is required to facilitate such webinars.
  • Q&A: This is usually the final part of all webinars. Queries are posed by the audience and answered by speakers.

3. Choosing the webinar platform

With a plethora of options available, it is a big task to select the right webinar platform that gives you and the audience an uninterrupted and real experience. An exceptional webinar is one that is most similar to the face-to-face experience, where the video and audio quality is not compromised. 

Check the scale of your conference, the style of communication, and features required to communicate with your audience before you make the decision.

For instance, if you wish to communicate with the attendees through polls, surveys, and collect feedback, you should select a webinar solution that allows you to conduct these. It has dual benefits, organizers gain valuable insights, and the audience feels more engaged.

4. Plan your webinar:

Select the topic of the web-based seminar and design the content with text, audio, and visual content to make it interesting and not monotonous. The introduction must give information about the time of commencement, points to be discussed, and the Q&A session details in the webinar. 

Next, outline the topics to be covered in the webinar. Use the platform-tools and social media streaming in real-time, as it improves the audience’s experience multiple folds. Remember the audience should always leave with valuable takeaways from the webinar.

5. Publicize and promote your webinar

Now that the webinar framework and content is ready, how do you ensure that it reaches more relevant people? You must promote it in advance just like an event so that people can book it in their calendars. Few things you can do:

  • Create a landing page that gives an insight into the webinar topic, the speaker(s), the key features, obviously the date and time, and not to forget, a call-to-action for people to sign up for the event.
  • Design a banner or creative to advertise and promote your webinar on your website, and social media.
  • Spread the awareness on multiple social media platforms, particularly those you think would have a more relevant audience. Following the trend, create a dedicated and unique hashtag to broadcast the event. This hashtag will benefit you during and post the event. 
  • People may be interested in the webinar, but they might forget to register. Therefore, ensure you send multiple reminder emails like a countdown to your event. 


Hosting a webinar is just the first step to your virtual event journey. Don’t forget to do a detailed post-event analysis, metric tracking and feedback gathering. It will provide you with a lot of valuable insights into understanding your audience and improving future events.
