Each streaming format has limitations involving latency, audience size, platform requirements, accessibility, and reliability. Improving one aspect may also require compromises elsewhere. The sections below start with what audiences do with each format, then work through the practical limits that decide which formats suit your event.

In short, choose live streaming when a speaker’s reply should change what happens next. Choose simulive when a shared start time matters more than spontaneity. When viewers need to watch on their own schedule, on-demand video is the best choice. A mixed program gives each session its own format.

What Audiences Do With Each Format

Format choices are easier to justify when you understand how viewers behave. HLS, a widely used method, splits video into short segments, and YouTube’s documentation notes that this makes it slower than other ways of sending video to the platform. When the video reaches viewers, HLS typically adds several seconds of delay, while WebRTC can deliver it in under a second. Low-latency versions of HLS can narrow that gap, bringing the delay down to around 1 to 3 seconds under suitable conditions.

Two events can both be labeled “live” yet have very different delays. Ask which methods the platform uses to receive and deliver the video and what end-to-end delay it can realistically achieve.

Delay is not the only limit. Live streaming also leaves little room for editing, so a failed microphone or a late presenter has to be handled while the audience is watching.

Simulive

Simulive can work in several ways, depending on the platform. On Wistia, a host can upload a pre-recorded presentation ahead of time and play it during the webinar without sharing their screen, which leaves the host free to speak with the audience while it plays.

Some event platforms offer a pre-recorded video session, where an uploaded video starts on schedule. This is useful when a speaker cannot attend live. On YouTube, a Premiere plays an uploaded video with a countdown and live chat. Viewers can rewind but cannot skip ahead of the live playback point.

These formats reduce on-the-day risks tied to a speaker’s connection, room, or bandwidth. The remaining tasks are checking that the recording plays correctly and assigning a moderator to answer audience questions, since a prerecorded speaker cannot respond to them live.

On-Demand Video

On-demand content often comes from other streaming formats. A YouTube Premiere becomes a regular video after it ends, retaining its views and chat replay. Vimeo’s live-event archiving can also turn a live event into video on demand. However, an unedited replay may retain mistakes, awkward pauses, and technical issues from the live session. Review the recording and make any necessary edits before publishing it.

Mixed Programs and Hybrid Events

A mixed program uses different formats for different sessions, such as a prerecorded keynote, a live panel, and a library of on-demand workshops. A hybrid event is different: it brings together in-person and remote attendees and can use any of these timing formats.

Hybrid event platforms can support QR code check-in for on-site attendees, attendance-based agenda personalization, and in-person participation in Q&A and polls through an app. Zoho Backstage’s hybrid engagement guide recommends assigning someone to monitor the virtual room and a moderator to bring remote questions into the discussion. Public videos can appear in search and recommendations. Unlisted videos stay out of search, but anyone with the link can watch them without a Google account and share the link. Private videos are shared by entering email addresses, which suits a short named list but not an audience that arrives through registration.

Stronger control exists at the hosting level. Cloudflare Stream lets a video be private by default so that viewers need a signed token, and tokens can be limited to a period of time. An unlisted link works for anyone who holds it, while a signed token expires. If attendance has to be tied to registration or identity, also set the entry rule at the event level, and test the direct player URL as well as the event page. Sending two feeds also requires additional upload capacity, so plan for the combined bitrate and leave headroom.

YouTube’s encoder guidance recommends testing upload speed, configuring resolution, frame rate, and bitrate in the encoder, testing before going live, and using RTMPS where supported. Run the speed test at the venue and, if possible, at the same time of day as the event, because network congestion can reduce available upload capacity.

Each format also needs a fallback:

Live: Name one person with authority to pause or end the broadcast, and keep a holding slide ready.

Simulive: Keep a second copy of the file on the playback device or in the platform library, and give the host a script for taking over live if playback stalls.

On-demand: Failures may show up as dead links or expired access. Keep the original file outside the hosting platform so the page can be rebuilt quickly.

Budgeting by Viewer-Minutes

Cost follows minutes watched more than it follows format. Cloudflare Stream’s pricing bills live and on-demand video at $1 per 1,000 minutes delivered and $5 per 1,000 minutes stored per month. A live broadcast with no viewers incurs no delivery charge, but its recording counts toward storage.

At these rates, 2,000 viewers watching for 40 minutes each would generate 80,000 delivered minutes, resulting in $80 in delivery charges. This example illustrates how viewer-minutes affect direct video-delivery costs. Actual expenses will vary by provider, pricing plan, storage requirements, and any additional production or accessibility services.

Testing Before the Event and Reviewing After

Each format can fail in different ways, so each needs its own tests and success measures. If you cannot complete a line without guessing, test that requirement first. Eliminate platforms that cannot support the planned sessions, then compare the remaining options on price, reliability, and support.

Choosing a Platform That Can Carry Every Session

Once each session has its one-line plan, the next check is whether one platform can carry all of them. In a mixed program, the risk lies in the handoffs, such as when a prerecorded keynote transitions to a live Q&A. Airmeet runs prerecorded and live sessions inside the same event, so a handoff does not mean switching tools. A prerecorded session keeps chat, polls, and Q&A running alongside the video, so attendees can still interact while the recording plays. During a live session, the host or co-host can play a video from the event library from backstage, which suits a recorded demo or sponsor clip in the middle of a panel.

Videos saved in the community library can be reused across events. Because the handoffs happen in one place, the team can rehearse each transition once instead of coordinating between tools. When you shortlist platforms, ask each vendor to demonstrate your highest-stakes handoff before you compare price.

Conclusion: Choosing the Right Streaming Format for Every Session

Choose the format session by session, not once for the whole event. First, settle the sessions where a live answer or a failed broadcast would matter most, because those choices will set the limits for the platform, captions, and access settings. The rest of the program can follow from these choices.

Live works best for sessions that depend on real-time interaction, such as Q&A, panels, and audience polls, while pre-recorded or hybrid formats suit sessions where reliability and polish matter more than immediacy. Mixing formats lets you protect the high-stakes moments with a backup plan, like a recorded fallback, without giving up the energy of live delivery where it counts.

Before the event, test each session’s setup end to end, confirm that captions and access settings work for every format you’ve chosen, and assign someone to monitor each stream. A format that has been tested and matched to its session’s purpose will serve your audience far better than a single approach applied everywhere.

Frequently asked questions

How Far in Advance Should a Simulive Recording Be Finished?

Finish it at least two full working days before the event. ON24 requires the recording to be published at least two hours before the start and recommends 24–48 hours ahead to leave time for review.
